Responsible for oversight and coordination of the Council and Membership departments’ operations and events. Serve as leader to other Member Services team specialists with regard to association processes and projects.
RESPONSIBILITIES AND AUTHORITY
Be knowledgeable about all member benefits, programs and services offered by the association.
Serve as the Member Services team leader for all specialists, provide guidance on association and department processes and programs.
Responsible for the facilitation and coordination of Council and Membership events, including such programs as summits, volunteer meetings, receptions and tradeshow booths. This includes:
Serving as liaison with the Special Events team.
Off- and on-site event logistics and execution.
Ensuring the development and delivery of materials for all events, including folders, tent cards, handouts, etc.
Coordinate the Council and Membership new member welcome process which includes:
Working with marketing and communications specialists to create marketing materials.
Coordinating welcome emails as well as new member packets.
Ensuring touchpoints with new members throughout the year.
Oversee the coordinate of the SEMA Show member lounges as well as the annual General Membership Meeting (and town halls, as needed), including:
Coordination with the Special events team.
Location scouting with guidance from Membership Director and Department Vice President.
Establish communication with site hosts and coordinating event needs.
Work with marketing and communications specialist to ensure promotional efforts are timely and effective.
Coordinate post-event surveys and provide analysis to key stakeholders, as needed.
Serve as lead on all membership and council inquiries, ensuring timely responses and high customer service and assist with improving SEMA Customer Service efforts.
Coordinate staffing efforts for:
Council, Membership and Research outreach efforts at events.
Internal projects and data collection.
On-site Show needs.
Coordinate administrative functions on behalf of the Council and Membership teams, including:
Events, website and marketing Work Orders.
Expense reimbursements for volunteers.
Office supply requests.
Coordinate the schedule for SEMA’s CEO at Council and Network receptions and events held during the SEMA Show.
Assist with maintenance of Council, Network and Membership data in Net Forum.
As requested, assist with SEMA front desk coverage and utilize as a remote workspace.
As requested, provide administrative support to the Department Vice President as well as the Council liaisons.
When directed by management, perform other assignments and duties as required (e.g., inventory, swag/gift orders, promotional giveaways, etc.).
Reports to the Director, Networks.
Interfaces with all directors/senior managers as well as the VP of Councils & Membership.
Interfaces with Association members and prospective members as recommended by the council directors.
PRIMARY SKILLS & REQUIREMENTS
4-year college degree with a strong background in communications and marketing preferred.
Team player who is willing to embrace new ideas and demonstrate an ability to change and grow as required by the position.
Demonstrated proficiency in all Microsoft Office software and strong willingness to learn new software programs is required. Experience with association management or CRM software is preferred.
Process all external and internal requests within a 24-hour time period during weekdays.
Skilled communicator with strong organizational abilities.
Travel requirements up to 25%.
