FOX Factory, Inc., a rapidly growing, dynamic company has an exciting opportunity for an Executive Assistant, PVG in its in Braselton, GA (30517) location.
The Executive Assistant, PVG Assists and provides the Powered Vehicles Group (PVG) President and team with administrative support to facilitate the efficiency and coordination of the of the PVG organization.
Independently performs a wide variety of complex tasks in a proactive manner to resolve scheduling and other conflicts that often cannot be brought to the attention of the executive.
Responsibilities include but not limited to:
Assists with reception of guests, front door, shipping and deliveries into building.
Transcribes meeting notes / commitments made by executive during meetings and arranges for staff implementation.
Arranges, on own initiative, for staff members to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments and invitations as the case may require.
Maintains Executive’s calendar; books department travel, creates itineraries and communicates to appropriate parties as to where/when to expect the Executive.
Takes the lead on behalf of Executive to arrange meetings, and to set-up functions/outings. Assists to set up and procure food for special events and lunch meetings.
Provides general administrative support for the PVG office including the purchase of office supplies, meeting scheduling, travel booking and other tasks that free managers to focus on their primary accountabilities.
Coordinates with other Administrative personnel as needed.
Summarizes the content of incoming materials, specially gathered information, or meetings to assist executive; coordinates the new information with background office sources; draws attention to relevant content and required action.
Locates and attaches related documents to correspondence that requires the personal attention of the executive.
Reads outgoing correspondence for executive approval, and alerts writers to any conflict with the file or departure from policies or executive's viewpoints; gives advice to resolve the problem.
Anticipates ways in which executive time may be saved.
Handles details of a confident nature, and performs administrative functions based on understanding of company policy, executive's views and philosophy.
Schedules appointments and gives information to callers.
Works with vendors and monitors invoices of office suppliers of equipment, services, deliveries, and general office needs.
AA Degree with a minimum of a High School degree
minimum of 8+ years of additional qualification as personal assistant
Exceptional reporting skills and writing skills, strong Microsoft Office skills, proven ability in managing processes, organization understanding and analyzing information
Must possess a high degree of professionalism, along with problem solving skills
Requires some Supply Management and Office Inventory Control experience, strong verbal communication ability.
Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position.
Full comprehension of office management systems and procedures.
Excellent knowledge of MS Office, proficiency in English.
Exemplary planning and time management skills.
Up-to-date with advancements in office technology and applications.
Ability to multitask and prioritize daily workload.
High level of verbal and written communications skills and Discretion and confidentiality
